Shipping & Receiving / Package Handling
Special arrangements must be made to receive any equipment, goods, displays, or other materials, which will be sent, delivered or brought into the hotel. Failure to do this may result in refused deliveries or materials being unavailable when required. The hotel’s receiving entrance is open from 9:00 AM to 5:00 PM, Monday through Friday. Advance arrangements must be made through the Events office for weekend deliveries. Any materials being sent to the hotel must be marked as follows:
- Return Address
- Name of Group associated with meeting room and date
- Group contact (Hotel Event Planner)
- Name of person that will claim package
- Date of that person’s arrival
- Number of boxes (Example: Box 1 of 2 and Box 2 of 2)
- Shipping Address: Hyatt Regency Rochester, 125 East Main Street, Rochester, NY 14604
Handling charges for packages are as follows both inbound and outbound, weight/pounds charge:
- Letter complimentary
- 0-49lbs $10.00 per box
- 50-99lbs $20.00 per box
- 100lbs and over $50.00 per box
- Pallets: $100.00 per pallet
All packages being shipped OUT of the hotel must be packaged, prepaid, addressed, labeled and ready for pickup. ***Note: We do NOT accept COD packages unless previously arranged without payment*** The loading dock is the only place to receive pallets or large equipment intended for our banquet level. Please review the precise loading dock
